About our Team/Mō te tīma

The Division of Shared Services is a team of highly skilled professional staff responsible for delivering an outstanding student and staff experience through high quality, effective service delivery to all of the University’s internal and external customers.

Client Services is responsible for providing administration services to staff, students, departments, and divisions across the University’s many campuses or satellites around New Zealand. We work centrally on campus, but we are also embedded within departments around the wider University.

Our team makes up one of the University’s largest professional workforces which gives us the ability to offer varied, engaging work, and the prospect of transfers, development opportunities and meaningful career progression.

We work closely with all areas of the University and act as the go-to experts for many of the administration processes and procedures here at the University of Otago.

The role/Te mahi

As a Lead Administrator Client Services, you will lead multiple teams of Client Services Administrators and proactively coordinate administrative support to a diverse range of Departments within the Dunedin School of Medicine.

In this position, you will help to guide and develop a supportive work culture that delivers an excellent customer experience.

You will be working in a team as part of the wider Shared Services Division. Your relationship building skills will be important, to ensure you become the trusted point of contact for the departments you support and the staff in your teams.

In this role you will be:

  • Supervising and managing day-to-day activities of your team, including prioritising, covering, and allocating workflow.
  • Providing and overseeing a wide range of administration support activities, including meeting minutes and committee level agendas, diary management, student placements, creating timetables and room bookings for students, assisting with examinations, and supporting general teaching and learning activities.
  • Building and maintaining trusted working relationships, providing advice and support to four Heads of Departments.
  • Supporting the other Lead Administrators within the Dunedin School of Medicine as we work collaboratively and inclusively as a larger team.

Due to the nature of the Shared Services Division, the range of tasks and responsibilities is broad and may require performing duties at different workplaces or locations across the Dunedin campus.

Your skills and experience/Kā pūkeka me kā wheako

Successful candidates will have:

  • Considerable experience in a busy and/or complex administrative environment.
  • Excellent communication and customer service skills.
  • Previous supervisory experience or exposure to managing teams.
  • Strong Microsoft Office skills, minute taking skills and experience with transactional administration systems.

This is a permanent full-time position.
