About our Team/Mō te tīma
The Division of Shared Services is a team of highly skilled professional staff responsible for delivering an outstanding student and staff experience through high quality, effective service delivery to all of the University’s internal and external customers.
Our specific team is Operational Finance, and we are responsible for all financial processing at the University of Otago. This includes functions such as Accounts Payable, Revenue Management and Supply Chain. We work to oversee all student fees, accounts payable / receivable, and also manage centralised purchasing and stores activities across several hubs located across campus.
We work closely with the Financial Services Division, particularly Financial Accounting Services, and Financial Systems. We are the go-to support experts for many of the operational finance processes and procedures here at the University of Otago.
The role/Te mahi
We are seeking an enthusiastic and proactive person to join our team as a Purchasing Officer at our University of Otago Christchurch campus. You will be part of a dynamic team who are responsible for performing a wide range of purchasing activities.
In this role, you will receive and process purchase requests and help to identify appropriate suppliers, while collaborating with your peers to identify opportunities for internal orders or purchases from other University departments.
- Finalising purchase requisitions for standard purchases as well as identifying the best and most appropriate payment methods.
- Liaising with University of Otago subject matter experts and suppliers regarding order requirements.
- Creating and maintaining purchase orders through to completion and making ready for payment.
- Tracking shipments and addressing any delays, ensuring stores and customers are kept up to date with expected delivery schedules as appropriate.
- Verifying all goods and services have been delivered to the expected levels.
- Preparing reports regarding purchasing activity including cost analyses.

Skills and experience/Kā pūkeka me kā wheako
- Exposure to working in a busy purchasing focused role.
- Strong Microsoft Office and PC skills.
- A positive, proactive approach to work.
- Experience providing excellent customer service.
- Flexibility and the ability to adapt on the fly to a diverse range of queries whilst working within strong policy guidelines.
- Previous experience working in a construction or trades environment (advantageous).

This is a permanent, full-time position based in Christchurch.
