Events service is a team within Marketing Services. We provide event management services and give professional events advice and support to academic and service divisions and departments across all three of the University’s main campuses. As part of Marketing Services, we play an important part in helping the University to present our messages in the best way possible, and to the highest standard.
The role/Te mahi
Reporting to the Manager Events, based in Dunedin, the University of Otago, Wellington (UOW) Specialist Events position will deliver professional event services across a portfolio of local, national, and international events that are typically large, significant, and/or high profile.
The Events team use an events management software called EventsAir, and as part of your role you will be required to train in, and become proficient at using this software.
In this varied and fast-paced role, you can expect to be involved in end-to-end event coordination including:
- Acting as the local conduit between UOW and the Events service.
- Leading and coordinating events for the UOW campus.
- Working with event owners and the broader Marketing Services teams to determine event objectives, briefs, and planning documents.
- Organising and managing event requirements such as venue bookings, catering, entertainments, event staffing, and technical resources.
- Producing event documents and programmes.
- Managing event logistics and undertaking on-site operational event organisation.
- Gathering post-event feedback and undertaking evaluations.
Whilst based in Wellington, you will be working in a collaborative team environment in partnership with a range of internal and external stakeholders to deliver proactive, professional event coordination services.
Kā pūkeka me kā wheako/Your skills and experience
To be successful in this role you will have:
- Suitable professional experience in managing end-to-end delivery of a wide range of events, including demonstrated skills in event scheduling design, planning, logistics and delivery.
- Proven experience in the delivery of high-quality events.
- HTML/Source coding experience is an advantage.
- Strong organisation, negotiation skills, and customer service orientation.
- An understanding of Te Tiriti, Tikanga and Te Reo Māori.
Prior experience organising high quality conferences, hospitality events, or festivals will be an advantage.

This is a part-time (0.5FTE), permanent position, based in Wellington.
You must have the right to live and work in New Zealand to apply for this role.
Given the nature of events, a flexible approach to working hours is necessary, as events often occur on evenings and weekends. Travel for off-campus events may be required from time-to-time.
