About our team/Mō te tīma
Client Services provides administrative support to the wider University. Our staff have a wide variety of different specialties, handling broad tasks such as diary management, document drafting, organising travel arrangements, recording meeting minutes, or acting as a point of contact for staff, students and visitors.
The Client Services team is part of the Division of Shared Services, a broader family of staff focused on delivering an outstanding student and staff experience through high quality, effective service delivery.
We are often embedded or physically located within the areas of the University that we support, from the College of Education to the Dental School and its clinics.
The role/Te mahi
As an Administrator within Client Services, you will be based in Invercargill and support academic staff in the Southland Hospital to ensure the smooth operation of that particular work area. In this position, you will help to maintain a supportive work culture focused on providing an excellent customer experience.
You will be working as part of the wider team of the Shared Services Division, however this is a sole administrative position. You will be working within the Kew Hospital and will have working relationships with the District Health Board, University of Otago staff and students who are in Invercargill on placement. Your relationship building skills will be important, ensuring that you become the trusted point of contact for a range of students, staff and visitors.
- Organising local and remote meetings.
- Responding to student or visitor enquiries.
- Coordinating local administration processes such as student induction, diary management and teaching administration support.
- Maintaining timetable information.
Due to the nature of the Shared Services Division, the range of tasks and responsibilities is broad, but you will be well supported both locally and remotely.
Your skills and experience/Kā pūkeka me kā wheako
- Previous customer service or administration experience (examples might include call centre, retail, hospitality, reception or general office experience).
- Working knowledge of Microsoft Office software (Word, Outlook, Excel, Teams).
- A desire to work with students and a drive to assist in their success.
While not essential, experience in a clinical setting, such as a health clinic, dentist or hospital would be highly desirable.

This is a permanent, part-time (18.75 hours per week) position.
You must be fully vaccinated to work at the University of Otago and given the location of this role are also covered by the Public Health Order.
