Kōrero mō te tūranga – About the role

Te Herenga Waka – Victoria University of Wellington is recruiting a Centres Administrator to join the University’s newest Faculty Te Wāhanga Tātai Hauora – Wellington Faculty of Health.

Key responsibilities:

  • Provide proactive executive assistance to Centre Directors, including diary management, travel/accommodation bookings and other administrative activities as required to ensure the smooth running of the Centres the role is assigned to.
  • Assist with drafting, editing, and formatting correspondence, reports, formal documentation, presentations, and spreadsheet/database work .
  • Coordinate hui and provide support for events and functions.
  • Raise and match purchase orders and invoices, creating journals, and processing expense claims.
  • Work with the Centres Manager to draft Centre employment contracts and process documentation as returned to ensure new staff and contractors are paid on time .
  • Ensuring office environments are welcoming for staff, students, and visitors .
  • Support orientation for new staff, visiting scholars, thesis students and interested parties based in the Centres .

You will be a motivated, customer-focused individual with good self-management skills. You’ll be someone who enjoys taking initiative and working both independently and as part of a larger team. This new role will be busy and challenging but offers the successful candidate(s) the opportunity to develop the position. The ability to remain calm under pressure and work effectively with a diverse range of stakeholders will be essential.

Key requirements:

  • Commitment to te Tiriti of Waitangi and its obligations to Māori as tangata whenua and Treaty partners.
  • Demonstrated ability to manage time, prioritise, plan, handle multiple tasks and unpredictable workload and work under pressure.
  • Knowledge of and experience in a range of computer applications including Microsoft Outlook, Word, Excel, PowerPoint, and SharePoint.
  • Proven ability to use initiative, problem solve and prioritise tasks to meet deadlines with excellent attention to detail.
  • Experience building and maintaining excellent working relationships with diverse communities and stakeholder groups.
  • Excellent written and oral communication skills.
