About Us/Mō mātou

The University of Otago, Christchurch campus is home to over 1,000 students. One third are medical students in their three clinical years of training and physiotherapy students in their final clinical year. Two thirds are postgraduate health sciences students undertaking a range of programmes to PhD level. Our student body is diverse with more than 20 nationalities represented.

We have internationally recognised research strengths in a number of areas including heart disease, indigenous health, infectious diseases, genetics, cancer, biomedical engineering, nursing, mental health and public health. All of our 14 departments are research active, with more than 30 well-established research groups.

Our campus is located in the heart of Te Papa Hauora (the city’s dedicated health precinct), right next to Christchurch Hospital. Many of our teaching and research staff hold joint positions with the Canterbury District Health Board – ensuring close clinical links.

Client Services is a Division of Shared Services, a team of highly skilled professional staff responsible for delivering an outstanding student and staff experience through high quality, effective service delivery to all of the University’s internal and external customers.

The Role/Te mahi

You will provide proactive administrative support to one or more work areas, becoming a trusted point of contact for a range of, staff, visitors and students. A strong customer service focus is critical to success in this role.

Accountabilities include:

  • Providing high-level of administrative support to the Clinical Research Unit Reception, including transcribing, welcoming clinic attendees and calendar management.
  • Providing a wide range of administrative support including diary management, document drafting, correspondence and administrative support to teaching.
  • Performing local processing activities including accounts and finance related tasks (e.g. processing PCard transactions; reimbursements; purchasing tasks (stationery and office supplies).
  • Using University systems to update databases, extract data, provide reports and other relevant data.

Due to the nature of the Shared Services Division, the range of tasks and responsibilities is broad and may require performing duties at different workplaces or locations across campus.

Skills and Experience/Kā pūkeka me kā wheako

  • Proven experience in a busy administration or reception role where high levels of customer service delivery are expected.
  • A passion for delivering exceptional service to customers.
  • Proficiency in the Microsoft suite of programmes.

Hours for this role are 8.30am/9am to 1 pm/1.30 pm, Monday to Friday.
