The University of Otago is New Zealand’s first and oldest University. It has a strong teaching and research tradition and well-established national and international linkages. The Division of Shared Services is a team of highly skilled professional staff responsible for delivering an outstanding student and staff experience through high quality, effective service delivery to all of the University’s internal and external customers.

The role/Te mahi

As a Lead Administrator Client Services, you will proactively coordinate administrative support to one or more work areas, leading a group of Client Services Administrators. In this position, you will help to guide and develop a supportive work culture focused on providing an excellent customer experience.

You will be working in a team as part of the wider Shared Services Division. Your relationship building skills will be important, ensuring that you become the trusted point of contact for a range of students, staff and visitors.

Accountabilities for this role include:

  • Undertaking operational activities and/or projects in a timely and customer-focussed manner.
  • Providing a range of administrative support activities, including overseeing administration activities; meeting administration; coordinating and organising internal review processes; gathering information and drafting documents; ensuring accurate, timely and efficient administration activities.
  • Supervising others and managing day-to-day activities of your team, including prioritising and allocating workflow.

Your skills and experience/Kā pūkeka me kā wheako

The successful candidate will have:

  • Considerable experience in a busy and/or complex administration environment.
  • A passion for customer service and delivering exceptional service to customers.
  • Previous supervisory experience or exposure to managing teams.
  • An ongoing commitment to positive outcomes for our students, staff and visitors.
  • Strong Microsoft Office skills.

Due to the nature of the Shared Services Division, the range of tasks and responsibilities is broad and may require performing duties at different workplaces or locations across the Dunedin campus.

We have two permanent positions available in the Division of Sciences, one full time and one part time (0.7FTE).
