We are looking for an Office Administrator /Receptionist to join our Business Services team in Christchurch. This is a pivotal role, where you will be involved in a variety of tasks including interacting with clients by providing a smile and cheerful voice at reception, managing the vehicle fleet, as well as the ability to manage time pressures to ensure the office supplies and facilities are maintained. Your hard work and positive work ethic will be rewarded!
The Christchurch office has grown so much that we have expanded to two locations in the city. Some of the tasks below will need to be considered for both offices.
The key responsibilities of the role include:
- Provide reception services and ensure both internal and external clients are greeted in a professional and friendly manner
- Assistance with accounts, vehicle fleet management and health & safety,
- Word-processing, excel, formatting of reports and other relevant correspondence as required
- Looking after our staff room and kitchen, keeping it tidy and well stocked
- Arranging couriers and packing of items for dispatch
- Scanning, printing and filing documentation
- Ordering of stationery and office supplies
- Arranging catering requirements for the office
- Assist with office events (set up of meeting rooms and staff functions) as required
- Assist with travel and accommodation arrangements as required
- Other ad hoc support for staff as required
Ideally, you will be outgoing, enthusiastic, energised, motivated, have an optimistic ‘can do’ attitude and a desire to help our high performing team run smoothly.
To be successful in this role you will need:
- To be well presented, a self-motivated individual who is bright and enthusiastic with exceptional interpersonal and customer service skills
- A proven background in Administration with at least 2 years’ experience
- The ability to prioritise work, meet deadlines and work accurately under conflicting time pressures
- Excellent written and verbal communication skills
- Great attention to detail – be meticulous in managing information
- A fantastic, positive attitude
- Computer literacy in MS Word, Excel, PowerPoint and Outlook
- A full driver’s licence (being able to drive both automatic and manual vehicles will be an advantage)
