You’ll be the ambassador of this company’s first impressions! You’ll assist the Practice Manager in many aspects of day-to-day business and general office support activities. You’ll be doing:

  • Answering incoming phone calls
  • Welcoming clients and visitors professionally – offer refreshments
  • Scheduling appointments – maintaining and updating calendars
  • Collecting, sorting distributing and preparing correspondence, mail and messages
  • Organising couriers
  • Clerical duties – scanning, filing, photocopying, data entry
  • Liaising with IRD and Companies office on client matters
  • Client database maintenance – set up of client records / statutory files
  • Ordering office consumables
  • Assisting with monthly invoicing and debtor management
  • Keeping Boardroom / meeting rooms / kitchen tidy
  • Assisting with marketing initiatives
  • Assisting the Practice Manager with various admin tasks as needed

To thrive in this role you’ll have:

  • Plenty of common sense and initiative – “nothing is too much trouble”
  • Sound computer literacy in Microsoft Word, Excel, and Outlook
  • Previous experience within a professional office reception based role
  • Strong administrative skills
  • Well developed time management and organisational skills essential
  • The ability to work autonomously but also being a member of the team
