The Contracts team at Wētā FX are looking for a HR Contracts Administration Co-ordinator. In this role you will work closely with the Contract Managers and assist them to draft and issue all crew contracts and employment agreements. This role will be part-time, around 20-25 hours per week, during the work week.

Working in a fast-paced environment, we need someone with great interpersonal skills and attention to detail who can work with our talented crew, Contract Managers, and the Talent and Culture team to ensure all crew contracts are drafted and managed in a timely manner. The HR Administration Co-ordinator works closely with the Contracts Managers and Recruitment, and is part of the wider Talent and Culture team, who all work to support the wider Wētā crew.

Key Responsibilities

To draft crew contracts and employment agreements as per the brief provided by Contracts Managers, including:

  • The preparation and drafting of employment contracts
  • Entering all contract details into proprietary system
  • Seeking clarification for any ambiguity
  • Reviewing and checking all details
  • Ensuring contracts are issued in a timely manner
  • Updating proprietary system with crew detail changes as appropriate
  • Respond to ad hoc and urgent requests
  • To proactively prioritise workloads appropriately in a fast paced and evolving environment
  • To remain adaptable working across various departments and teams.
  • Liaison with and provision of information to other departments.

Needs to know and have

  • Great communication skills and maturity (i.e. be good with people and sensitive during critical deadlines)
  • Excellent organisational and time management skills
  • An aptitude for problem-solving
  • Ability to prioritise in a constantly evolving environment
  • Excellent attention to detail
  • Awareness of the sensitive nature of the role and the importance of confidentiality
  • Proficiency with Microsoft 365 Suite
  • Ability to learn and manipulate bespoke database/systems quickly
  • Comfortable with technology.
