Conference Administrator – Nelson

This hotel located in the heart of sunny Nelson offers everything from luxurious rooms to corporate events to 24 hour dining. As the only fully serviced hotel in Nelson we are extremely busy with tourists and corporate traveller alike!

The opportunity
You’ll be dealing with client enquiries by email and phone regarding venue and accommodation availability, venue capacity, audio-visual equipment, catering option and pricing while consulting with and being directed by the Conference & Events Sales Manager. You’ll be creating quotes, contracts and invoices, processing deposits, and making run sheets using Opera Software. In addition you may also be required to

  • Provide and maintain accurate and up-to date records and files for each event.
  • Provide printed signage and menus for the events.
  • Send follow up emails, as well as thank you emails to clients.
  • Assist the Conference and Events Sales Manager with meeting clients to discuss their requirements for the event in details. Showing different rooms to the client and offering various event options.
  • Liaise with chef regarding menu option, consult with and report to general manager, food and beverage manager, C,E & S Mgr. and supervisors regarding upcoming events and regarding client’s requirements ensuring all events run smoothly.
  • Negotiate price and equipment availability with external service providers for the different events as requested and approved by C,E & S Mgr.
  • Work on marketing collateral for website and social media.
  • Ensure that function rooms are set up to the required standard. Communicate with floor staff / F&B Supervisors.
  • Assist with the smooth running of all events as and where reasonable required.

The who
You’ll come with experience in working on the floor during conference and be keen to step up You’ll have excellent written and verbal communication skills and speak English fluently. You’ll need to be flexible with your availability as conferences and events can involve evenings and weekends on occasion. This role is 80% office based You’ll be wanting to work your way up within a well reputed organisation and you’ll possess a strong desire to succeed in everything you do.
